Job Summary:

The Curriculum Coordinator supports the faculty and Office of Medical Education in the development and maintenance of the academic curriculum for the Kaiser Permanente School of Medicine. The Coordinator performs high-level administrative tasks in support of the spiral, case-based curriculum including editing and formatting documents, managing complex schedules, procuring supplies, processing financial transactions, uploading materials to the learning/content management system, and supporting and coordinating curriculum management meetings.

Essential Responsibilities:


  • Oversees the production and publication of both print and computer-based curricular materials; edits and formats materials to conform with standards and templates.

  • Manages all aspects of faculty administrative tasks to ensure optimal faculty support.

  • Maintains the curriculum in the learning/content management system including creating learning events; uploading course materials, assessment, and evaluation items; and mapping the curriculum.

  • Manages planning and arrangements for curriculum and case development meetings including space reservations, communication, refreshments, and technology; may produce meeting minutes.

  • Coordinates and supports one or more curriculum sub-committees.

  • Provides cross coverage and/or support to other curriculum coordinators as needed.

  • Implements a clear file management structure to facilitate access to curricular materials.

  • Develops standard operating procedures for the Curriculum Coordinator role and makes recommendations for improving processes.

  • Ensures that day-to-day Integrated Sciences course operations are efficient, effective, and student-centered. Ensures the appropriate materials are copied and uploaded and all logistics are coordinated accordingly.

  • Reserves space for class, procures resources for the delivery of the curriculum, and prepares materials and technology for class sessions.

  • Maintains class schedules, ensures that course Learning Management System (LMS) is up-to-date and complete; assists with scheduling and preparation for course faculty development sessions; maintains up-to-date tracking system for student absences from mandatory course activities (and related communications with Office of Student Affairs).

  • Facilitates timely communication with substitute faculty, as needed.

  • Provides classroom support to faculty with the IT and AV systems.

  • Collects evaluation and assessment data and runs routine reports; maintains gradebook and prepares grades for approval and final submission.

  • Administers and proctors exams, directs students to sign in and out, maintains exam security and integrity throughout process, documents testing misconduct or irregularities.

  • Fosters and maintains open and ongoing communication with all stakeholders - students, faculty, staff and leaders.

  • Coordinates financial transactions, including entering requisitions and expenses, processing expense reports, paying invoices, procuring supplies, and transferring funds in accordance with department policy and procedure.

  • Assists with the management and control of the budget for curricular events. May prepare budgetary reports.

  • Performs other duties as assigned.

  • Two (2) years of program/project administration experience, preferably in health sciences education.

Education

  • Bachelors degree or four (4) years of experience in a related field.
  • High School Diploma or General Education Development (GED) required.

  • Proficiency in the use of technology including Microsoft Office products, learning/content management systems, and web-conferencing tools; aptitude for learning new software.
  • Service-oriented in support of faculty, staff, and students.
  • Strong written, verbal, presentation, and interpersonal skills.
  • Organized self-starter, with strong time management skills; detail-oriented.
  • Ability to maintain confidentiality.
