Description:
Job Summary:

Under general supervision and in collaboration with other members of the health care team, performs reception duties, makes appointments, performs ECG examinations, and file room and dark room services in accordance with standard policies and procedures. Create, transfer and maintain radiology files as required using knowledge skills, abilities for all ages of patients served. Perform all duties in a manner that promotes Partnership values and reflects KPNW mission and values.

Essential Responsibilities:

  • File Room: Order, track, locate, and file radiology images, jackets and requisitions. Ensure all studies are prepared for the radiologist to read. Ensure all studies have been read daily. Manage and resolve Quality Assurance issues in the file room. Communicate with other members of the health care team any problems related to maintaining efficiency of the file room operation.  Perform digitization and gateway management functions are necessary.
  • Reception Desk, Appointment Making: Greet patients in a friendly and professional manner to ensure optimal delivery of customer service to patients, members and co-workers on the phone and in person using skills and abilities required for the age of the person being served. Check patients in for exams in an accurate and timely manner. Complete COPR forms correctly and/or any additional forms needed. Handle challenging situations so that patient and organization needs are met. Minimize emotional situations and accommodates member when organization has let member down. Ensure member receives proper written instructions and preparation information for exam. Pick up and deliver inter-departmental mail, if applicable. Maintain computer appointment schedule and files containing requisitions.  Perform outreach calls as assigned..
  • Flow Coordinator: Manages department voicemail and incoming calls.  Coordinates member flow through imaging area. Serves as a liaison to areas that are supported by imaging.  Communicates status updates to all involved parties.  Manages add-on studies and coordinates transport.  Schedules STAT and Urgent exams, and assists with all scheduling as requested. Responsible for scheduling complicated studies usually involving areas outside of a specific imaging modality.  Covers other areas and responsibilities, as needed to maintain operations. Assists with preparation of various tumor board reviews.  Prepares paperwork as requested per modality. Stock and tidy patient care and work areas.  Monitor schedule templates and makes changes as directed.  Chaperone as needed.  Preform reminder calls as appropriate.
  • Imaging Services Regional Records at the Process Center: Responsible for tasks covering Imaging Services, Regional Records operations to include; requesting jackets from storage, purging records, answering the telephone, responding to telephone voicemails and answering pages (after hours), digitizing mammograms and general radiology exams as well as documents and images for legal and research, managing images and documents via the gateway-inbound and outbound, sending and receiving images on film and CD, providing Images and documents for Release of Information and possibly other assigned duties. Communicate with other members of the health care team to meet the needs to the patient.
  • Imaging Services Regional Appointing Call Center: responsible for tasks covering Imaging Services, Regional Appointing Call Center operations, to include answering the Imaging Services appointing line and calling out to schedule all Imaging Services orders, including: MRI, Bone Density, Ultrasound, CT, PET CT, EEG, Nuclear Medicine, Fluoroscopy, Diagnostic and screening Mammograms and possibly other assigned duties. The schedulers must meet quality and service standards, scheduling accurately, ordering cabs and interpreters as needed, providing cost share information upon request and providing an exceptional level of customer service on every call. Communicate with other members of the health care team to meet the needs to the patient.
  • On regular basis, cooperates with other staff members both within and outside department in accomplishment of own job duties, as well as assisting others in accomplishing theirs; serves as team player and role model for other employees in organization always exhibiting traits of courtesy, caring, helpfulness and respect; conducts oneself in service-oriented manner that is attentive, pleasant, cooperative, sensitive, respectful and kind when dealing with members, visitors, public and employees.
  • Performs other duties and accepts responsibility as assigned within scope of duties, including and not limited to: Answers telephone calls; ascertains callers needs and assists them accordingly; obtains and records pertinent information. Operates office equipment: computer, calculator, copier, telephone, etc. Maintains equipment and supplies in clean, orderly, and useable condition; reports malfunctions/needs to Lead Technician, Biomed and/or supervisor for appropriate action.
Basic Qualifications:

Experience


  • Minimum six (6) months of experience in clerical position dealing with public.


Education


  • High School Diploma or General Education Development (GED) required.


License, Certification, Registration


  • Basic Life Support

  • Demonstrated command of the English language.

  • Basic keyboard or computer skills.

Preferred Qualifications:


  • One (1) year of prior clerical experience in a medical setting.

  • Experience with CADENCE system or other automated scheduling system.

  • Kaiser work experience.

  • Basic knowledge of medical terminology.

  • Basic knowledge of radiation safety.

  • Efficient data entry and typing skills.

  • Dark room processing skills.

  • Multi-line telephone skills.
