Description:
Job Summary:

Under the direction of the Service Area Director of Surgical Specialties, to manage Vision Essential personnel on daily clinical staffing requirements, operations, and needs ensuring high quality service to members and staff.


Essential Responsibilities:


  • Develops standards of behavioral performance and clinical competencies. Evaluates personnel based on established standards and competencies.

  • Trains and educates staff regarding approved HR & departmental policies and procedures and ensures completion of mandatory training.

  • Educate and orient staff of new equipment and oversight of staffs certifications. Responsible to review service performance, effects changes as needed to improve services and ensure compliance with regulatory requirements.

  • Consistently evaluates ways to improve patient satisfaction and meet member needs. Addresses and resolves member complaints, concerns, and requests for information. Communicates member/staff interaction trends and problems to supervisors. Constantly evaluates ways to improve member/customer satisfaction and meet member/customer needs.

  • Monitors quality of product to meet American National Standards Institute (ANSI) standards and ensures that turnaround time has been met.

  • Serves as a supportive member of the Vision Essentials Leadership Team in providing caring, efficient, and quality vision services. Ensures that all reports are completed and turned in on time, monitors cash handling procedures to insure they are followed, and all funds are secured.

  • Works closely with Optometrists responsible for contact lens coordination in creating better processes and workflows in the contact lens department.

  • Manages quality improvement initiatives for ophthalmology and ensures compliance with HEDIS indicators and other required standards.

  • Participates in setting of revenue targets and cost containment controls. Ensure that Optical marketing and positioning strategies are met. Remain actively involved in accessing community competition to include pricing, levels of service, hours of operation, and customer expectations.

  • Establishes and maintains collaborative working relationships with the chief of Ophthalmology, Chief of Optometry, vision sales leadership, medical centers management, union representatives and providers.

  • Participates in Union Based Teams activities.

  • Responsible for ordering new equipment and oversight of equipment, scheduled maintenance and coordinates the maintenance of supply levels to meet the needs of the department.

  • Monitoring financial performance and identifies and implements strategies to reduce costs and improve quality of care/service in the Ophthalmology Department. Participates in setting of revenue targets and cost containment controls and adheres to policy and procedures surrounding vision services physical inventory.

  •  Ensures professional development for self, clinical staff, support staff and student affiliates; has effective communication skills and ability to build effective teams.

  •  Work closely with the director of the Georgetown University Ophthalmic Medical Personnel in organizing and training students visiting Kaiser Permanente Ophthalmology Department.

  • Responsible for schedules and template reviews to support Vision Essentials Operations.

  •  Laser Safety Officer for Ophthalmology which requires a certification in laser safety. Laser Safety Officer is required to JOB DESCRIPTION Page 2 of 3 understand all key aspects of laser safety and make sure appropriate standards, OSHA requirements and needs for state and local compliance are being followed in the department.

  • Responsible for creating audit forms and logs that are relevant to the department as control measures to ensure that appropriate standards are being followed.

  • Perform quarterly and monthly audits to ensure safety for both patients and staff.

  • Responsible for making sure lasers and equipment are serviced properly and safe for patient and staff use.

  • Responsible for creating and organizing schedules for the following: Visual Fields, A-scans and Cataract classes in accordance with provider schedules on a monthly basis.

  • Performs special projects as assigned by supervisor and/or Service Chief.

Basic Qualifications:
Experience


  • Minimum three (3) years of experience as a Certified COT, OR COMT, OR COA, OR ABO required. Bachelors degree can be substituted for 2 years of experience.

  • Minimum two (2) years of leadership or supervisory experience required.

Education

  • Associate degree OR two (2) additional years of experience as a COT, COMT, COA or ABO required.
  • High School diploma or General Education Development (GED) required.
License, Certification, Registration
  • Ophthalmic Technician Certificate OR Ophthalmic Medical Technologist Certificate OR American Board of Opticianry Basic Certification OR Ophthalmic Assistant Certificate
  • Basic Life Support
Additional Requirements:

  • Experience with personal computer required.
  • Oral & written communication skills required.
  • Thorough knowledge of regulatory (state and federal) agency requirements and professional practice standards
  • Thorough knowledge of principles of supervision, management, personnel management, financial analysis and budgeting.
  • Experience in financial management, program development, quality improvement and project management
  • Demonstrates customer-focused service skills
  • Demonstrated ability to organize, prioritize and problem solve
  • Demonstrated ability to use good judgment and decision making, responding calmly and effectively in crisis situations
  • Demonstrated ability to resolve conflict
  • Demonstrated understanding and support for diversity in the workplace
  • Ability to think globally and provide line of sight from regional strategy to front-line staff
  • Highly effective interpersonal skills are required in building programs to support and maintain medical staff, administrative and community relationships
