Description:
The Office Coordinator will assist with all aspects of materials procurement and supply for the Center for Health Research. They will order supplies, maintain, and conduct inventory, host vendors and visitors, schedule services for facility repairs, equipment maintenance, and provide coordination for movers for office set ups and installations, and be able to act as an information source for the Center for Health Research.



Job Summary:

To provide a high level of support to more senior project managers, research associates, clinic coordinators and principal investigators in the management of research projects.



Essential Responsibilities:


  • (Project Planning and Implementation) Support coordination of protocol development. Understand the initial project plan and changes as they pertain to CHR/ KP departments, other institutions and the project-coordinating center. Understand and provide support and assistance in the development of research project timeline, procedures, forms, scripts, manuals, and tracking systems. Provide assistance in the administrative, technical and scientific day-to-day operation of the study to assure project goals and timelines are met, quality data is collected and managed, and to assure participant and/or data confidentiality. Use appropriate computer programs to assist in data collection, tracking, ordering laboratory tests or procedures, or communication, such as RRS, Health Connect. Use study specific programs, PAS, Cadence for tracking appointment making, etc., and other computer software as needed. Participate as a member of the project and provide assistance and support for regional and national project meetings and conference calls.

  • (Administrative) Support and assist more senior project managers, research associates, clinic coordinators, and/or PIs in the coordination of hiring of project staff. Provide assistance and support for all project meetings and conference calls.

  • (Quality Assurance) Support the development of quality assurance procedures, and assist with the monitoring of data collection, and data transfers in accordance with CHR policies and procedure. Understand the importance of protections implemented for research participants and assist with the preparation of annual IRB reviews.

  • (Grant/Contract Management): Support the project manager, RA, clinic coordinator, or PI in the administration of the grant/contract per federal rules and regulations and/or specific grant/contract language. Understand the operational budget and sub-contracts; track documentation and authorization of payment of study related bills. Interact with CHR finance department to track budget and reporting compliance. Support the coordination of the development of the continuation budget. Support the development of new proposal budgets. Provide assistance in the preparation of project reports for PI review and approval.

  • (Dissemination) Support the process of summarizing and sharing project information with other sites. Support senior project manager, research associate, clinic coordinator, and/or PI in the maintaining regular contact with other project administrators in order to share information and ideas. Assist with the tracking of papers in process for projects, with planning for project papers and posters to be presented at national and international conferences. Performs other duties as requested.

Basic Qualifications:
Experience


  • Minimum two (2) years of experience in any position in a research environment OR  minimum three (3) years as an administrative support person in any environment.

  • High School Diploma or General Education Development (GED) required.

Additional Requirements:

  • Thorough understanding of an administrative support role which includes recording and modifications to the project plan, documentation of project team meetings, tracking expenditures to the budget and the implementation and tracking of quality assurance plans.
  • Effective communication skills.
  • Thorough knowledge of system software applications and skilled in the use of: MSWord, Excel, and PowerPoint.
  • Demonstrates customer-focused service skills.
Preferred Qualifications:

  • Minimum three (3) years of experience as a senior project assistant, a secretary or in a lead position in a CHR department with direct responsibility for a department role in managing a research project.
  • Minimum one (1) year in a professional training program.
  • Thorough knowledge of the health-related research, from proposal submission through data collection and analysis to dissemination of findings.
  • Comprehensive understanding of an administrative support role which includes the recording and modifications to the project plan, documentation of project team meetings, tracking expenditures to the budget and the implementation and tracking of quality assurance plans.
  • Comprehensive knowledge of system software applications: MSWord, Excel, PowerPoint, Access, MSProject.
  • The ability to work semi-independently to proactively identify problems or concerns that might affect a project and to implement a resolution once problems are identified.
